How Teratai Works collects, uses, and looks after your personal information — written in plain terms.

Last updated: May 2025

In plain words

We only collect the information you share with us directly. We do not sell it or pass it to advertisers. You can ask us to show you, correct, or remove what we hold. If anything here is unclear, please write to us at [email protected].

1. Who we are

Teratai Works is a small consultancy based in Singapore that helps business owners use AI tools thoughtfully. Our registered address is 71 Robinson Road, #13-06, Singapore 068895. You can reach us by phone at +65 6692 4318 or by email at [email protected].

This policy describes how we handle personal data we receive through our website at terataiworks.live and through the services we provide.

2. What data we collect

We collect only what is reasonably needed to communicate with you and to deliver our services. This includes:

  • Contact details — your name, email address, and phone number when you fill in the contact form or write to us directly.
  • Enquiry content — the message you send, so we can respond appropriately.
  • Technical data — basic browsing information such as your browser type, approximate location by country, and the pages visited, collected through cookies and similar tools. See our Cookie Policy for details.

We do not collect sensitive categories of personal data (such as health, financial, or identity document information) through our website.

3. Why we collect it

We use the information you share for the following purposes:

  • To respond to your enquiries and discuss how we might help.
  • To carry out the services you have engaged us for, including sending progress notes and support messages.
  • To keep a reasonable record of our working relationship should questions arise later.
  • To understand broadly how our website is used, so we can keep it clear and useful.

We do not use your data for targeted advertising, and we do not share it with advertising networks.

4. The lawful basis we rely on

Under Singapore's Personal Data Protection Act 2012 (PDPA), we rely on the following grounds when handling your data:

  • Consent — when you submit the contact form, you are agreeing for us to use the information to follow up with you.
  • Contractual necessity — once an engagement begins, we process your data as needed to carry out the work you have asked for.
  • Legitimate interests — for basic website analytics, where those interests are proportionate and not outweighed by your rights.

5. How long we keep your data

We keep contact enquiries for up to twelve months after the last communication. Client engagement records are kept for five years from the end of the engagement, in case questions arise about work completed. After those periods, data is deleted securely.

If you ask us to remove your data sooner, we will do so unless we are required by law to retain it.

6. Who we share data with

We do not sell or trade your personal data. We may share it with:

  • Service providers — a small number of trusted tools we use to run our business (such as email hosting or secure document storage). These providers are bound by confidentiality and are not permitted to use your data for their own purposes.
  • Legal authorities — where we are required to do so by Singapore law or a valid court order.

All third-party providers we use are assessed for their data handling practices before we engage them.

7. Transfers outside Singapore

Some of the tools we use (such as email or cloud storage) may store data on servers outside Singapore. Where this occurs, we take reasonable steps to ensure that the receiving country or organisation provides a comparable standard of protection to that required under the PDPA.

8. Your rights

Under the PDPA, you have the right to:

  • Ask what personal data we hold about you.
  • Request corrections to data that is inaccurate or incomplete.
  • Withdraw consent for us to use your data for purposes that depend on your consent.
  • Request deletion of your data, subject to any legal retention requirements.

To exercise any of these rights, please write to us at [email protected]. We will respond within twenty business days.

9. Cookies

Our website uses cookies for basic analytics and to remember your cookie preferences. You can manage these through your browser settings or via the cookie banner on our homepage. For full details, please read our Cookie Policy.

10. Security

We take reasonable organisational and technical steps to protect the data we hold. Access is limited to people who need it for their work. We do not store payment information on our systems.

No method of data transmission over the internet is entirely without risk, but we take these matters seriously and review our practices regularly.

11. Children's data

Our services are directed at business owners and working professionals. We do not knowingly collect personal data from individuals under the age of 18. If you believe a minor has submitted data through our site, please contact us so we can remove it promptly.

12. Changes to this policy

We may update this policy from time to time as our practices or the law changes. The date at the top of this page shows when it was last revised. Significant changes will be noted on our website homepage for a reasonable period.
